It’s no mystery that I love systems and processes. And I love tools.
After having worked for years in corporate jobs, I faced the online world with…a pen and paper.
Don’t get me wrong. I love pen and paper. In my past (working) life I had even earned a diploma in graphology and I still believe that handwriting is an essential and powerful way of expressing yourself, improving your fine motor skills and helping your brain to create new ideas and plans.
Nonetheless, the hard truth is that when you are super-busy, pen and paper are no longer enough to stay on track. You definitely need something more robust because you have a lot of clients, projects, deadlines, notes, programmes…
So, I remember my a-ha moment when I finally discovered the existence of tools that could support my business.
I tried and studied a lot of them and have now a wide understanding of the different features they provide.
For this reason, I feel I can confidently affirm that I see people making one major mistake when it comes to setting up their own virtual office and getting effective support from systems, processes and tools.
They are asking everyone for suggestions, templates, browsing the internet… I frequently receive requests like this: “set up my PM tool”. And when I ask for further details I am answered: “I have some clients, some projects and I need to set up my content calendar”
This is what I call a reactive mode.
You are not in control of your business but rely on other people’s setup or suggestions and adapt them to your business.
This main mistake won’t get you a system that really supports you.
Because YOUR business is YOUR business. Which means it has to be done on your own terms.
For this reason, when you want to “systematize” your business, you have to find, try and map what works for you. When having a strategy session with my clients we start assessing where they are and then study better solutions to streamline the workflow. Only when everything is super-clear, we document the processes and find the right tool to support them. Because the super-power of your tools is that they are different (aka have different features) and they are customizable (aka you can make them work as YOU like it).
This is what I call a proactive mode.
Which is the only way to be in control, be truly supported and run a business that truly represents what you are.
